Review equipment a crew member bought on a job

Where equipment purchases submitted from the field wait, and how to register or reject one.

When somebody buys a piece of equipment while out on a job, they can record it from the field rather than sending you a photo of the receipt. It arrives as a purchase waiting for review: nothing is added to your equipment list until you say so.

Where to find one

A purchase belongs to the job it was bought on, so that job is where the decision is made. When one is submitted, everyone with an owner or manager role gets a notification linking straight to it.

  1. Open the notification, or open the job the purchase was made on.
  2. Scroll to the registered equipment section of the job.
  3. Read what was submitted: the asset tag, the item, its condition, and what it cost.
  4. Register it to add it to your equipment list, or reject it with a note explaining why.

What registering it does

  • Creates the equipment record, using the asset tag and details the crew member submitted.
  • Attaches any note they left about its condition, so a fault reported at the point of purchase is not lost.
  • Links the purchase to the expense, when one was attached, so the cost lands in the job's actuals.

Rejecting it leaves your equipment list untouched and records your note against the request, so the person who submitted it can see what happened and why.
